As part of the service provided by SITD, hard drive discs are erased to HMG IAS5 and the PC/Laptops are then either resold or redeployed back to the customer. It is not uncommon for discs to fail the erasure process, therefore if a hard drive disc does fail the erasure process, then it is destroyed using a shredder. Previously at SITD, the failed hard drive discs were audited, placed in secure bins and moved to SITD’s destruction area. They were then shredded using one of several industrial shredders – a lengthy process which would often cause a delay to shred the discs of up to 5 working days. It was identified that SITD needed a quicker solution to ensure the failed discs were destroyed on the same day.
The Facts
SITD requirement was to implement a solution to ensure any failed hard drive discs were destroyed on site, the same day. Their intention was to find a solution which would ensure the failed discs were destroyed securely and within 1 hour of failure – saving time and resources, providing customers with additional assurance. A shredding solution which was quick and easy was sought after.
The Solution
SITD looked to HSM’s data protection experts for advice – who, following consultation of their existing processes to destroy digital media, came to the conclusion that HSM’s StoreEx HDS 150 digital data media shredder was the solution they were looking for.
The Result
Prior to the HSM StoreEx HDS 150 being located within the secure sanitisation area, hard drive discs were storedin sealed bins and then moved to the destruction area some 40m away. The process was labour intensive. An audit of the deposition of the hard drive discs into the bin, the movement of the bins and the final shredding of the hard drive discs had to be kept. As a result of using the HSM StoreEx HDS 150 and bringing the destruction process into the secure sanitization area, the audit and the handling time of the hard drive discs have been reduced. The time delay from erasure failure to destruction is now minutes instead of days and this significantly reduces the risk of data being misused. Erasure failure to destruction time averages less than 1 minute. Additionally, because the HSM StoreEx HDS 150 is mobile on castors, it can be removed from the premises easily and taken to the customer. This now enables SITD to provide commercial grade destruction services to complement its HMG offering. In addition to this, it also enables the SITD team to provide pre-shredding on government projects where a large vehicle cannot access the site. Central London for example.
